2013 Spring Offroad Festival discussion

2013 is upon us and the Spring Offroad Festival is just 3 months away. The planning is starting and we need your help.

We need Volunteers and confirmation from our club members in order to plan the event. We are currently on the fence as to whether there is enough interest in a festival for 2013.

PLEASE respond to this email if you plan to enter a vehicle in the show and let us know if you are willing to volunteer to help with the event. We need all the help we can get!

This is a great event for our club that raises money for the Cystic Fibrosis Foundation of South Carolina.

The Proposed Date of the event is May 4th 2013.

I've always wanted to make it to one of these, but always had somthing going on that weekend. Hopefully I can make it this year.

I think being that this is a fundraiser for a charity, we could also raise the entrance donation to $20 to enter a vehicle, I think a higher dollar figure raised would really help vendors see that we are out here trying to help. we raised $1800 last year, and if we could double that by charging $20.

So we had 3 Club members return my email about the event saying they could come...sounds like yall are really into this!

I know we had a few people post up here as well, but we are talking about less than 10 people from our club even responded...

This is why I hadn't brought up this event this year.... A metric ton of planning goes into it, but the club members really arent into it, last year most of our club didn't even show up to this and its IN COLUMBIA!. This event is supposed to be hosted by MIDCAROLINA JEEPERS, but we cant even get 10 people to respond to an email....

I didn't reply to the email but I'll have 4 or 5 entries between me and family, my RC can be a rental, we can use my trailer as the stage.

If we can get drinks, chips, etc from one place I'll do that but if we have to get small amounts from multiple stores I'll need help. I'll take care of Papa John's pizza if we can get that again.

I can also contact the Suzuki vendors I've dealt with before.

Also, I think $20 would be reasonable and easier (not making change), but since we're going to have less events (no teeter totter) include a raffle ticket and 1 meal for $20. $10 extra for r/c?

Also, I suggest allowing people to try the rti twice, forwards and backwards, and keep their higher score.

$5 meals for either pizza or BBQ and chips if we can do that, r/c rentals, and extra raffle tickets I think we can beat $1800.

The $20 would include the RC comp if you arent entering a vehicle correct?

I'm wondering about including a meal, because many people may not eat there.

Sounds good. I'm going to check on parking today or tomorrow. We can plan all we want but if we don't have parking its not going to happen.

I say 4th. Without knowing for sure when the poker run is, I don't want to interfere with them either and we need to make sure they'll be able to come down with the ramp.

Who can put together a pdf of pictures from previous years to send to vendors along with the description? I already sent something to low range offroad that we can work from for a generic vendor email. And Brooks, do you have a copy of what we used for food vendors?
